A parent, guardian, teacher, or responsible staff member must always be present during sessions unless otherwise agreed (e.g. when booked directly by a school/organisation with their own staff supervision).

I do not take or share photos, videos, or identifying content of participants without written consent.

I am happy to work within the safeguarding policies of schools, nurseries, and organisations.

Terms & Conditions
Welcome to Imaginellie!
These Terms and Conditions outline the agreement between you (the client — school, nursery, charity, festival, or organisation) and me, Ellie Scanlan, regarding the services offered through Imaginellie. These include creative workshops, storytelling sessions, drama clubs, and theatre projects for children, families, and community audiences.
By booking a service, making a payment, or engaging with Imaginellie, you agree to these terms. They are designed to ensure clarity, fairness, and smooth collaboration.

1. Services Provided
Imaginellie offers a range of creative, educational, and performance-based services, including:

Adventure Game Club — After-school drama quests for ages 7–10.

Adventures into Nurseryland — Storytelling, songs, and interactive play for EYFS and nursery children.

Story Jam — Interactive storytelling for festivals, libraries, and family events.
-
Wondermakers — Multi-day theatre-making projects for schools, charities, and community groups.
Services are delivered by me, Ellie Scanlan, and tailored to the needs of the organisation.
2. Booking and Payment Terms
-
Booking Process: Once details are agreed, I will provide a booking confirmation and invoice outlining fees, deposits, and any additional costs (e.g. travel).

Deposits: A 25% deposit is required to secure most bookings. For larger projects (e.g. Wondermakers), a 50% deposit may be requested. Deposits cover preparation and hold the agreed date.

Balance Payments: Due no later than 14 days before the first session, unless otherwise agreed. For schools/charities requiring post-session invoicing, this can be arranged in advance.

Payment Terms: Payment is due within 30 days of the invoice date. Late payments may incur a 5% charge.

Travel & Accommodation: For bookings beyond Gloucestershire, reasonable travel (public transport or mileage at £0.45/mile) and accommodation costs may be added. These will always be agreed in advance.
3. Cancellations, Rescheduling & Refunds

More than 7 days’ notice: Deposit retained; no further charge unless non-refundable costs (e.g. travel/venue) have been incurred.

Less than 7 days’ notice: Up to 50% of the total fee may be charged, plus expenses.

Less than 48 hours’ notice: Up to 100% of the total fee may be charged, plus expenses.
Cancellations by Me: In the unlikely event I need to cancel (e.g. illness), I will offer an alternative date or provide a full refund of any payments made.
Force Majeure: Neither party is liable for cancellations due to events beyond reasonable control (e.g. illness, extreme weather, government restrictions). We will work together to find a fair solution.
4. Client Responsibilities

Space & Facilities: Provide a safe, accessible, and suitable venue (e.g. hall, classroom, library space).

Supervision: Ensure appropriate staff are present to supervise children and manage safeguarding throughout.

Logistics: Share relevant risk assessments, access needs, and policies in advance.

Technology/Resources: Ensure any agreed resources (e.g. projector, sound system) are available and functional.

Respect & Conduct: Support a safe, inclusive space. Aggression, discrimination, or unsafe behaviour from participants or staff will not be tolerated.
5. My Responsibilities
I will:

Deliver sessions with professionalism, care, and preparation.

Tailor activities to the age, group size, and context of participants.

Communicate clearly before and during the booking.

Follow safeguarding best practice.
-
Hold current Public Liability Insurance and an Enhanced DBS certificate. Copies of documentation are available on request.

6. Confidentiality & Privacy
All personal details, participant information, and creative work will be treated as confidential. I will not share participant data, photos, or creative work without explicit prior consent.

7. Safeguarding

Photos, video, or recordings of participants will only be taken or shared with prior written consent.

Any safeguarding concerns raised will be taken seriously and escalated appropriately.
8. Liability
I take all reasonable steps to ensure a safe and positive experience in every workshop or performance.

I hold current Public Liability Insurance and a valid Enhanced DBS certificate (documentation available on request).

Imaginellie is not liable for:

Injuries, accidents, or losses occurring at venues not managed by me.

Loss or damage to personal items during workshops/events.

Venue or technical issues outside my control.

Clients are responsible for ensuring appropriate staff supervision, insurance, and risk management for participants.
9. Intellectual Property
All original content created by me (workshops, scripts, exercises, resources) remains the intellectual property of Imaginellie unless otherwise agreed in writing. Materials may be used for internal educational purposes but not reproduced, sold, or redistributed without permission.
10. Changes to Terms
These Terms & Conditions may be updated to reflect changes in services or legal requirements. The most recent version will always be available at www.imaginellie.com.

If I collaborate with a partner organisation (e.g. school, nursery, festival), I’ll only share relevant information with your consent or where required by law.
How Long I Keep Your Data

Children’s workshop registers: up to 12 months (then securely deleted/shredded)

Invoices & financial records: 6 years (HMRC requirement)

Media consent forms: for as long as the related images/videos are in use
